CENTRALIZED WORKFLOW AUTOMATION FOR TECHNICAL-SCIENTIFIC PDF PROCESSING IN GEOINFORMATICS ENVIRONMENTS

Abstract

The paper presents a centralized workflow automation solution for processing technical-scientific PDF documents in geoinformatics-oriented organizational environments. The proposed system addresses repetitive document-processing activities associated with scientific reporting, technical documentation, scanned archives, and institutional digital workflows, particularly in situations where users do not possess advanced PDF-processing skills. The solution is implemented using a continuously operating Windows server or dedicated workstation connected to a shared network environment (NAS or SMB share). Automated directory monitoring mechanisms detect newly added files and trigger predefined processing workflows executed through centrally managed PDF-processing actions. The implemented services include DOC/DOCX to PDF conversion, OCR processing for scanned scientific documents, PDF optimization for efficient storage and electronic transmission, and PDF-to-editable-document conversion. The proposed approach contributes to workflow standardization, centralized control of processing parameters, reduction of repetitive manual operations, and improved accessibility of technical-scientific information. Resulting files are automatically generated using standardized naming conventions, supporting workflow consistency and traceability within institutional document-management processes. Internal operational tests indicated reduced processing times for all implemented workflows and significant reductions in PDF file size after optimization. Operational aspects regarding security, access control, reliability, scalability, and traceability are also discussed. The solution is suitable for technical-scientific organizations managing heterogeneous digital document flows requiring centralized, low-complexity, and standardized processing infrastructures.
